Incoming mail, handled

A surprising amount of Swiss business still arrives on paper: invoices, contracts, official letters, the registered mail nobody dares ignore. Add the documents landing in a shared email inbox, and someone on your team spends hours every week opening, renaming, and filing — before any real work has started.

What was built

I first built this for my own company. At WECHEER — the company I co-founded — documents arrived through both channels: a centralized email address and physical mail. So I built the step nobody wants to own, for my own team.

Swiss Post's ePost service scans the physical mail. From there, an automation picks up each scanned document by API, reads it with an AI model, renames it to the company's naming format, and files it in the right inbox. Documents arriving by email get the same treatment. It ran first as an n8n workflow; when volume justified it, it became a custom application.

One honest detail: the final triage stayed human. An admin still decides what happens to each document — the automation removed the mechanical work around that decision, not the decision itself. We could have automated further; that was the scope that made sense.

Do we have to change how we receive our mail?

You keep your address. Swiss Post's ePost service scans your incoming mail and delivers it digitally — setting that up is part of the engagement, and it's more straightforward than most owners expect.

We already scan our mail ourselves. Is there anything left to automate?

Yes — scanning is the easy step. The hours go into what follows: reading, renaming, sorting, filing, forwarding. That's the part the automation takes over.

What about confidential documents?

The documents are processed by an AI model under a data-processing agreement, used only to name and route them, and stored in your systems — not mine, not the provider's training data. The full data story is on this site, written to be read: see "Where your data goes" on the offer page.

Does this replace the person who does it today?

It replaces the mechanical part of their week, not their judgment. In the case above, the same admin still runs triage — three to four hours lighter.
